A wedding is the one event where the transportation cannot be improvised, and a Colorado winter is the one setting where it will be tested.
Winter mountain wedding transportation in Colorado is built as staged vehicle waves rather than a single shuttle: guest arrivals from Denver or Eagle County, a wedding-party vehicle held for the day, and timed return waves after the reception. Arion chauffeurs stage 30 minutes early for weddings, vehicles run 4WD and state-approved winter tires, and rates are locked at booking. Vehicles for peak dates commit six to twelve months ahead.
Three transportation problems, not one
Couples tend to ask for “a shuttle.” A winter mountain wedding is actually three separate jobs, and conflating them is where the day goes wrong.
- Getting guests to the mountains. Airport arrivals across two or three days from DEN or Eagle County, scattered across flights. This is a set of transfers, not a shuttle.
- The wedding party on the day. A dedicated vehicle held for the day, moving a small group between getting-ready location, photos, ceremony and reception, waiting in between. Continuous hourly billing.
- The guest shuttle on the night. Lodging to venue before, and timed return waves after — typically an early wave and a late one, because a reception does not end at a single moment.
Pricing and vehicle choice differ for each. Build them separately and they all work.
Weather is the plan, not a risk to mention
Vehicles run state-approved winter tires and four-wheel drive, which satisfies Colorado's Traction Law without chains; two-wheel-drive vans and buses carry the traction devices the state requires. Chauffeurs are asked to carry a cold-weather kit — flares, triangles, solar blankets, water, food.
In a storm the thing that changes is the route, not the trip. Closures are checked before departure and adjustments are made en route at the chauffeur's discretion, and the chauffeur tells you what changed and why. There is no vehicle swap and no cancellation from our side.
The specific decisions we would make for a February wedding at Vail or Beaver Creek:
- Guests arrive the day before, not the day of. A closed Eisenhower Tunnel on a wedding morning is a genuine disaster and an entirely foreseeable one.
- The wedding-party vehicle is on site early — chauffeurs stage 30 minutes early for weddings rather than the standard 15.
- Return waves start earlier than you think. Older guests and families with children leave first, and they should not be waiting outside at 11 p.m. in February.
- Gate and venue access is confirmed in advance. Beaver Creek is gated; several venues have specific vehicle staging rules.
Sizing the guest shuttle
Stretch limousines, party buses and coach buses are quote only; everything else is hourly.
Rates are hourly and all-inclusive except gratuity, with the first 40 miles of each booking included. Executive Sedan $150/hr (3 passengers, 2-hour minimum), Executive SUV $125/hr (5), Luxury SUV $150/hr, Luxury Coach Van $250/hr (12, 3-hour minimum), Executive/Jet Van $325/hr (9) on a 4-hour minimum. Stretch limousines, party buses and coach buses are quote only. The rate is locked when you book and does not move with demand, weather or the hour of the night.
Alcohol is allowed in the vehicle for passengers 21 and over. Smoking and vaping are not. Damage or excessive cleaning is billed.
Where these weddings happen
Most of our winter wedding work is in the Vail Valley, Summit County and Estes Park, with a steady share of Denver couples doing a mountain ceremony and a city reception or the reverse.
Each has a transportation character. Vail and Beaver Creek are the furthest from Denver and closest to Eagle County — guests should fly EGE if the schedule allows, and Beaver Creek's gate needs the guest list handled in advance. Breckenridge and Keystone are the easiest Denver-side drive at under two hours. Estes Park is a different corridor entirely, US-36 rather than I-70, which means it is unaffected by the ski traffic that ruins an I-70 Sunday.

Booking timeline
Cancellation terms are the same on every booking: full refund at 48 hours or more, up to 50% inside 48 hours, nothing inside 24. Tours run on a 7-day window.
Work runs on Arion's own vehicles and on Arion-trained 1099 affiliate chauffeurs and vetted Colorado PUC-certified operators, depending on the date and the vehicle. Every one of them carries a PUC permit and commercial insurance, and every one is dispatched and answered for by Arion. Questions we get asked
How far ahead should we book wedding transportation?
Six to twelve months for a peak-season Saturday, and large vehicles first — coach buses and party buses are the scarce item in Colorado.
How early does the chauffeur arrive for a wedding?
Thirty minutes early, rather than the standard fifteen.
Can you do a guest shuttle and a separate wedding-party car?
Yes, and they should be separate. The wedding-party vehicle is held for the day on continuous hourly billing; the guest shuttle runs timed waves before and after.
How do return waves work after the reception?
Typically an early wave and a late one, because a reception does not end at a single moment. Older guests and families with children leave first and should not be waiting outside in February.
What happens if it snows on the wedding day?
The route changes, not the trip. Conditions are checked before departure and adjustments are made en route. We do not cancel. The bigger lever is having guests arrive the day before rather than the morning of.
Should guests fly into Denver or Eagle County for a Vail wedding?
Eagle County if the schedule and fare work — it is 36 miles from Vail against 121 from Denver. Denver for large groups and for anyone who needs recovery flights in a storm week.
Can you handle a wedding at Beaver Creek?
Yes. Beaver Creek is gated, so the guest list and property names are confirmed in advance so vehicles are not held at the checkpoint.
How many guests can you move?
Anything from a single vehicle to staged waves for well over a hundred. Twelve is the maximum in a single non-bus vehicle; coach buses go to fifty.

Do you do winter weddings in Estes Park?
Yes. Estes Park runs on US-36 rather than I-70, so it is unaffected by ski traffic, which makes it one of the easier winter wedding corridors in the state.
