A desk calls one number, gives the guest name, pickup time and passenger count, and gets a named chauffeur and a fixed hourly rate back — no surge, no app, no guessing whether a car will accept the ride. Arion holds Colorado PUC authority LL-04689 and carries $1.5M commercial auto and $5M general liability on every vehicle.
What a concierge desk actually needs
A desk does not need a brochure. It needs to know, in under a minute, whether a car exists for a guest standing in front of it. Arion is built around that: one dispatch number, a named chauffeur assigned at booking rather than at pickup, and published rates the desk can quote without waiting for a callback.
The information Arion needs is short. Guest name (or an alias — that is normal here), pickup time and place, passenger count, bag count, and a destination. Everything else is Arion's problem.
Airport meets, spelled out
Most guest complaints about car service come from the meet, not the drive. Here is exactly what happens at each airport, so the desk can set the guest's expectation correctly.
Vehicles and capacity
Sizing is where bookings go wrong, so the numbers are published rather than quoted case by case. Capacities below are seated passengers, not a marketing maximum, and the bag counts are what actually fits with the seats in use.
Forty miles are included per booking rather than per hour. Twelve passengers is the largest single non-bus vehicle, which is the number most desks need when a family books late.
Weather, delays and the things that go wrong
Denver hotels lose guests to weather more than to price. Two policies matter for a desk. First, Arion does not cancel a confirmed ride because of snow; mountain-bound vehicles run four-wheel drive on state-approved winter tires that meet the Colorado traction law, which CDOT can activate on any state highway from September 1 through May 31.
Second, a delayed flight is not a cancellation. The reservation moves to the new arrival time. The only cancellation triggers are the client directing it, or no response to phone, text and email one hour after the flight has gated.
Practical timing to give a guest: add ten to fifteen minutes to a metro pickup during a storm, and roughly two hours to a winter mountain transfer. A guest told the real number before they leave the lobby does not call the desk from the car.
What Arion will not pretend to do
The fleet is not wheelchair-lift or ramp equipped. Folding wheelchairs, walkers, oxygen and service animals travel comfortably in the SUVs, but a guest who needs a lift should be referred to Hermes Worldwide at (303) 577-7600, which runs ADA Sprinters. Sending that guest an SUV and hoping costs the desk more than the referral does.
Arion also does not surge, does not sell guest data, and does not put a driver on a job without a Colorado PUC-authorized operator behind it. More than 65 percent of trips run on Arion's own fleet with Arion chauffeurs; the balance goes to vetted Colorado PUC-certified affiliate operators trained to Arion's written standards, described at safety and licensing.

How much notice does a concierge need to give?
Two hours for a pickup between 6 a.m. and 10 p.m. A pickup inside the 10 p.m. to 6 a.m. window has to be booked before the desk closes at 10 p.m. Same-day requests inside two hours are often still possible, but they are a phone call rather than a booking.
What does it cost, and can the desk quote it?
Yes. Rates are published: Executive Sedan $150 per hour seating three, Executive SUV $125 seating five, Luxury SUV $150 seating six, Luxury Coach Van $250 seating twelve. Sedans and SUVs carry a two-hour minimum, the coach van three hours, and 40 miles are included per booking.
Can the chauffeur meet a guest inside the terminal?
At Denver International the standard meet is curbside on Level 5. A meet inside at baggage claim with a name sign is available for an additional $75, arranged at booking. At Eagle County and Aspen the inside meet is standard at no extra charge, and at private aviation FBOs the chauffeur meets the aircraft on the tarmac where the FBO allows it.
What happens if the guest's flight is delayed?

Do you run during snowstorms?
Yes. Mountain-bound vehicles are four-wheel drive on state-approved winter tires meeting the Colorado traction law, which CDOT can activate on any state highway between September 1 and May 31. Winter mountain transfers need roughly two extra hours; metro pickups need ten to fifteen.
How many bags fit?
Eight in a luxury SUV, three in a sedan, fourteen in the Luxury Coach Van. From November 1 through April 30 the Luxury SUV seats five rather than six so that winter coats and gear ride inside.
Is the fleet wheelchair accessible?
Not with a lift or ramp. Folding wheelchairs, walkers, oxygen and service animals are accommodated in the SUVs. Guests who need a lift-equipped vehicle should be referred to Hermes Worldwide at (303) 577-7600, which operates ADA Sprinters.
Can you handle a group larger than one vehicle?
Yes. Twenty passengers take one 20-passenger minibus or two 12-passenger coach vans; larger movements run on 30, 40 or 50-passenger motorcoaches with a four-hour minimum. The whole movement bills as one job with one point of contact.
What is the cancellation policy?
A full refund at 48 hours or more before pickup, up to 50 percent inside 48 hours, and no refund for a no-show. Tours and multi-vehicle event work use a seven-day window because the vehicle is held for the whole block.
Who is actually driving the guest?
A commercially licensed, background-checked and drug-tested chauffeur trained to Arion's written standards. More than 65 percent of trips run on Arion's own fleet with Arion chauffeurs; the balance goes to vetted Colorado PUC-certified affiliate operators held to the same written standards.
Do you share guest information?
No. Client identity and itinerary are confidential by default. Chauffeurs receive only the pickup location, time and passenger count needed to run the trip, NDAs are signed on request, and client data is never sold or published.
