Client Confidentiality

you say stays in the car.

Our full confidentiality policy, including the narrow circumstances under which anything is ever disclosed.

Arion treats every client interaction as confidential — passenger names and contact information, pickup and drop-off locations, itineraries and schedules, conversations that occur inside the vehicle, billing and payment information, and corporate, executive or VIP travel details. Information is disclosed only under five narrow circumstances, listed in full below. Every chauffeur who carries Arion clients has acknowledged our SOP and signed a confidentiality statement.

What is covered

The following are treated as confidential in every engagement:

  • Passenger names and contact information
  • Pickup and drop-off locations, including private residences
  • Travel itineraries and schedules
  • Conversations that occur inside the vehicle
  • Billing and payment information
  • Corporate, executive, celebrity and VIP travel details

This is not a courtesy we extend on request. It is the default on every trip, for every client.

When information is disclosed

Confidentiality is set aside only in these circumstances:

  • When required by law. A valid subpoena, court order or law enforcement request.
  • To protect life or safety. Where there is an imminent threat to a passenger, a chauffeur or the public.
  • With your explicit authorization. For example, sharing travel details with a designated assistant, family member or event coordinator.
  • To complete the service. Limited information shared with a trusted partner, such as an affiliate transportation provider or an airport representative, solely to fulfill your reservation.
  • To investigate fraud or criminal activity. Including payment disputes, where disclosure is legally necessary.

That is the entire list. There is no marketing exception, no press exception and no social media exception.

How we enforce it

  • Every chauffeur who carries Arion clients has acknowledged the Driver Excellence Manual and SOP and signed a confidentiality statement.
  • Our affiliate agreement carries NDA, confidentiality and client non-circumvention terms.
  • Client information is shared internally on a need-to-know basis only.
  • Photographs of clients are never taken or posted without written permission.
  • A serious confidentiality breach is grounds for immediate removal from Arion work.

If your firm requires its own non-disclosure or vendor confidentiality agreement, send it with your booking request and we will execute it.

Why we put this in writing

Most ground transportation companies treat discretion as an unwritten understanding. That works until it does not, and by then the conversation someone repeated is already repeated.

Attorneys moving a client to a deposition. An executive team discussing an unannounced transaction on the way to the airport. A family who would rather not have their home address circulating. All of them are entitled to know the standard before they book, not after, so we published it.

Questions we get about this

Is what I say in the vehicle confidential?

Yes. Conversations that occur inside the vehicle are treated as confidential, the same as your name, your destinations and your billing information. Chauffeurs do not repeat them, inside or outside the company.

Do your chauffeurs sign anything?

Yes. Every chauffeur who carries Arion clients has acknowledged the Driver Excellence Manual and SOP and signed a confidentiality statement. Our affiliate agreement carries NDA, confidentiality and client non-circumvention terms, and a serious confidentiality breach is grounds for removal.

Can I be photographed?

No. Photographs of clients are never taken or posted without written permission. That applies to social media, marketing and everything else.

When would you ever disclose information?

Only in five narrow situations: when required by law under a valid subpoena, court order or law enforcement request; to protect life or safety under an imminent threat; with your explicit authorization, such as sharing details with your assistant or event coordinator; to complete the service, where limited information goes to a trusted partner solely to fulfill the reservation; and to investigate fraud, payment disputes or criminal activity where disclosure is legally necessary.

Who inside Arion sees my information?

Client information is shared internally on a need-to-know basis only — the people required to plan and run your trip, and no one else.

Do high-profile clients get extra protection?

They get the same strict standard everyone gets. We do not operate two tiers of privacy; the executive, the celebrity and the family heading to the airport are all covered by the same policy.

Will you sign our company's NDA?

Yes. If your firm requires its own non-disclosure or vendor confidentiality agreement, send it with your booking request and we will execute it.

Tell us what the trip requires and we will send an all-inclusive quote. If you need our confidentiality terms in your vendor file, ask and we will send them.
