How wedding shuttles are actually scheduled
Most Colorado wedding transportation runs in three waves, not one continuous shift. The first wave moves guests from hotels to the ceremony, usually starting ninety minutes before the ceremony time with the last run arriving twenty minutes early. The second wave is the wedding party and family, which is smaller, tighter, and almost always runs late. The third is the return, which starts at the end of the reception and often needs two loops if the guest count exceeds the vehicle's capacity.
The number that matters is the loop time, not the guest count. A 30-minute one-way run means a single vehicle can move one load per hour once you account for boarding. A hundred guests, a 30-minute loop, and a 12-passenger van is not a plan. Give a coordinator the venue address, the hotel block address and the ceremony time, and the vehicle math becomes obvious in about two minutes.
Mountain venues change the arithmetic
Venues above the Front Range add three constraints. Access roads are often narrow and sometimes gravel, which rules out larger buses at some properties. Shuttle staging is limited, so a venue may allow only one vehicle at the door at a time. And in shoulder season, weather can close a pass between the ceremony and the send-off. Ask your venue coordinator for their vehicle length limit and their staging rules before you book anything, and confirm whether the last run has a hard curfew. Many Colorado venues do.
For guests staying in Denver and celebrating in the mountains, a single late return run is usually a mistake. Two departure times, one at the reception's midpoint and one at the end, keeps older guests and families with children from waiting three hours for a ride.

How many vehicles do I need for my wedding?
Plan one vehicle for the wedding party and guest shuttles at roughly one vehicle per 6–8 guests per wave, adding capacity for mountain venues where the round trip is long. Dispatch will build a timeline from your headcount, hotel blocks, and ceremony time.
When should I book wedding transportation?
Six to nine months out for June–September and any mountain venue; peak Saturdays and holiday weekends go earlier. A deposit holds vehicles while your final timeline is still moving.
Do you provide guest shuttles between hotel and venue?
Yes, continuous or wave shuttles between hotel blocks, ceremony, reception, and late-night returns, which most Colorado mountain venues require and which keeps guests from driving canyon roads after the bar.
Can you coordinate with our planner and run a getaway car?
Yes. We work directly from your planner's run-of-show, stage vehicles for the exit photos, and keep a dedicated vehicle for the couple's departure.
How many passengers fit in your group vehicles?
Luxury Coach Van seats up to 12, the Executive/Jet Van seats 9 in VIP configuration, and buses run 20, 30, 40, and 50 passengers. Larger groups run multiple vehicles on one coordinated dispatch.
Can we bring alcohol on board?
Optional beverage service is available on group vehicles, and passengers 21+ may consume alcohol where Colorado law and the vehicle's licensing allow. Chauffeurs never drink on duty, and glass policies vary by vehicle.
Is there a minimum booking time for group vehicles?
Yes, group vehicles carry 3–4 hour minimums depending on the vehicle, and pricing is per vehicle rather than per person.
How early does the chauffeur arrive?
Fifteen minutes before your pickup time. That window is for a final inspection of the vehicle, a review of the route, a traffic check and, if needed, an alternate route. For weddings the chauffeur is on site thirty minutes prior.
How far ahead do I need to book?
Two hours for any pickup between 6 a.m. and 10 p.m. Inside two hours it is Rush service for an additional $50, and we only confirm it once a driver is assigned. We will not take a booking we cannot cover. For a pickup between 10 p.m. and 6 a.m., book before 10 p.m., when our office is staffed. Service itself runs 24/7, 365.
Can we make a stop along the way?
Yes. Everything is booked hourly, so a stop for gear, a liquor store or food is not a problem. If it is a meal, we will make sure you know it was not part of the original plan and that the clock runs until you reach your destination. Your chauffeur is yours for the trip. Our focus is always on the people presently in front of us, and finding a driver for the next client is dispatch's job, not your problem.
Is gratuity included?
No, and we do not force it at booking. Our philosophy is that drivers earn their gratuity. You can prepay one if you prefer.
When is my card charged?
Vans and buses are charged at booking to secure the vehicle for your date. Sedans and SUVs are billed seven days in advance.
How much wait time is included?
Fifteen minutes free on non-airport transfers, after which the vehicle's hourly rate applies, prorated in fifteen-minute increments. Airport arrivals work differently and more generously: your pickup is set thirty minutes after your scheduled landing time.
How do you keep a large group organized across several vehicles?
One point of contact per vehicle, not one for the whole group. Each chauffeur communicates directly with their own contact, and each vehicle departs once that contact confirms their group is ready, so one slow car does not hold the others. Vehicles usually travel in tandem, though we do not guarantee it.
Can we drink in the vehicle?
Alcohol is welcome for passengers 21 and over. Consumption by anyone under 21 is not permitted. Soda, water and refreshments are on board for everyone. Smoking is not permitted in any Arion vehicle, and a smoking incident carries a minimum $500 cleaning charge.
What will I know before the trip?
Twenty-four hours before pickup you receive a text with your chauffeur's name, their contact number and photo, the vehicle and its license plate, and your full trip details, with a request to confirm everything is correct. You are then texted again when the chauffeur is on the way, when they are on location, when you are on board, and when the trip is complete. Both the passenger and whoever booked the trip receive every update, so an assistant booking on someone's behalf never has to chase a status. You can also track the vehicle's location from an hour before pickup and throughout the trip.
I left something in the car.
Call dispatch. Found items are logged with a photograph, a description and the time and place found, then held secured at our main office, and often the chauffeur can return it the same day. Wallets, phones, medication, keys and identity documents are escalated to dispatch immediately, and every return is handed off with your confirmation and logged.
