What Sundance Transportation Actually Costs in Boulder

Nobody publishes what Sundance transportation actually costs, so here it is with our real rate card attached.

Every festival guide tells you to "arrange transportation in advance." None of them tell you what that means on a credit card statement. The result is that people either overbudget by double and get nervous, or underbudget by half and end up standing on Canyon Boulevard at 11:40 PM in 19-degree air watching surge pricing climb.

So this article does the unglamorous thing. Real rates, real minimums, real mileage math, and three sample four-day budgets — for a couple, for a small production team, and for a studio delegation. Our rates are published at ridearion.com/pricing and they do not surge for festival week. That last part matters more than anything else on this page.

The Rate Card, Without the Sales Language

Arion bills hourly, per vehicle — not per person. Four people in an Escalade pay the same as one person in an Escalade. That single fact changes the math for anyone traveling as a group, and it's the reason rideshare comparisons fall apart above two passengers.

Two numbers on that table drive every budget decision you'll make.

The first is the hourly minimum. Sedans, SUVs, and the Luxury Coach carry a two-hour minimum; the Executive Van, Jet Van, and buses carry four. A 55-minute ride from your hotel to Macky Auditorium still bills at the vehicle's minimum. That's not a festival markup, it's how private transportation works everywhere — the vehicle and chauffeur are committed to you for that block whether you sit in it or not.

The second is mileage. The hourly rate includes the first 40 miles of a trip. Denver International to Boulder runs roughly 45 road miles, so a modest per-mile charge lands on top of an airport transfer. The full number, mileage included, appears before you confirm. There is no back-end reconciliation and no fuel surcharge invented in January.

Why the Minimum Is Actually Your Friend During Sundance

People flinch at a two-hour minimum for a 25-minute ride. Then they run the alternative and stop flinching.

Here's the thing about a two-hour block during festival week: you're not buying a ride, you're buying a window. Screenings run long. Q&A sessions run longer. A panel at Old Main that was supposed to break at 6:15 breaks at 6:50, and the person with a dedicated vehicle walks out to it while everyone else opens an app and watches 34-minute ETAs.

Use the block deliberately. A single two-hour sedan reservation starting at 6 PM can cover the ride to a 6:30 screening, a wait through the film, and the ride to dinner afterward — one charge, two moves, zero exposure to whatever the app is doing at 9 PM on Peak Saturday. Split those same two moves into separate on-demand rides and you've paid twice, waited twice, and stood outside twice.

What Rideshare Will Cost You on Peak Saturday

I'm not going to pretend rideshare has no place at Sundance. At 11 AM on a clear Wednesday, Boulder to a hotel in Louisville, one person, no luggage — take the app. You'll save money and I'd tell a friend the same thing.

The math inverts in four specific situations, and every one of them is guaranteed to happen to you during an 11-day festival:

• Screening release. Two thousand people leave Macky Auditorium inside ten minutes. Every app in a half-mile radius spikes at once, because that's exactly what dynamic pricing is designed to do. This isn't a maybe — it's the single most predictable pricing event of the festival.
• Snow. Front Range storms thin the driver pool and multiply fares simultaneously. Our rates don't move in weather. Our vehicles are AWD and our chauffeurs have driven Boulder in January for years.
• Late night. Midnight screenings at Boulder Theater and Chautauqua end after 1 AM. Driver supply in Boulder at that hour is thin on an ordinary night, and Sundance week is not an ordinary night.
• More than two people. Per-vehicle pricing beats per-ride pricing the moment you add passengers. Six people in one Escalade versus two rideshares plus a third that never shows — the comparison isn't close.

The honest framing: rideshare is cheaper on average and unreliable at exactly the moments that matter most. You're not paying us for transportation. You're paying to remove one variable from a schedule where you've already spent four figures on tickets, lodging, and airfare.

Three Real Four-Day Budgets

These assume January 22–25, the peak first weekend, with lodging in Boulder or along US-36. Rates are starting rates; the exact figure comes from your route and duration at booking.

The couple: two screenings a day, dinner out, $1,400–$1,900

Daytime screenings within downtown Boulder aren't on this list on purpose. Most downtown and CU campus venues sit within a 15-minute walk of each other, and the city plans free HOP bus service plus up to 5,000 shared e-bike passes during the run. Walk the daytime, book the evenings. That's the efficient split and it's what I'd tell my own family to do.

The small production team of five: $2,600–$3,400

Two Executive SUVs for arrival and departure, because five people with equipment cases don't fit one vehicle honestly. Then a Luxury Coach for one full premiere day — two-hour minimum at $250/hr keeps the whole team on the same clock and arriving as a unit, which matters when you have a 4 PM press call and a 7 PM screening. Budget one additional evening block for the party you don't know about yet, because there is always one.

The studio delegation: $1,000–$1,500 per day

Dedicated vehicle, dedicated chauffeur, assigned to your delegation for the day rather than dispatched per trip. A Luxury SUV on an eight-hour day at $150/hr is $1,200 before gratuity, and it buys you something no per-trip booking can: the vehicle is yours. It waits. It holds coats and gear. It repositions while your principal is inside. Add the Jet Van when talent needs a mobile green room between a press junket and a red carpet — nine seats, VIP configuration, and a place to sit that isn't a hotel lobby with a camera in it.

Multi-day delegations should talk to us in November, not January. Sundance is 11 days of concentrated demand across a metro area with a finite number of professional chauffeurs, and the good ones are committed early.

The Costs People Forget Until They're on the Invoice

• Gratuity is not included. It's discretionary and never expected, but plan for it — 15–20% is the industry norm and it belongs in your budget line, not as a surprise.
• Mileage past 40 miles. Relevant on any DEN transfer and on Denver-to-Boulder round trips. Shown before you confirm.
• Wait time inside a block is free; wait time outside it is not. If your screening runs 40 minutes past your reserved window, we'd rather you extend the block at booking than discover the overage after.
• Airport parking you no longer pay for. Eleven days in DEN economy parking is real money, and it quietly offsets a chunk of your transfer cost if you were considering driving your own car.
• The rental car you probably don't need. Eleven days of a winter-capable SUV rental, plus Boulder parking, plus the express lane transponder, plus gas, frequently exceeds what pre-booked transfers cost — and you still have to park it downtown during a festival that has no spare parking.

Book the Airport Runs First, Then the Premieres

If you only pre-book two things, book the DEN arrival and the DEN departure. Those are the trips with hard deadlines and the most expensive failure modes — a missed flight costs more than every ride on this page combined. Our DEN-to-Boulder transfer playbook covers the timing windows in detail.

Book premiere nights second, as soon as the December schedule lands. Opening Thursday, Peak Saturday, and Awards Saturday are the three nights when Boulder's entire supply of professional vehicles gets claimed, and there's no clever workaround for having called too late.
